Loaner Equipment Terms & Conditions
By accepting a loaner endoscope from Endoscope Services, your facility agrees to the following terms and conditions. These terms are designed to ensure our equipment remains in serviceable condition so it can be made available to other facilities who need it. Please share these conditions with all staff who will be handling or using the loaner scope.
- Care and Handling: The receiving facility is responsible for treating the loaner equipment with the same high standard of care as their own equipment. This means following all applicable manufacturer handling guidelines, including correct angulation limits, proper channel access, and appropriate use of accessories. Any practice that would constitute misuse on your own scopes applies equally to our loaners.
- Damage Liability: Any damage incurred to the loaner scope while in the possession of the facility or during return transit is the financial responsibility of the facility. This includes impact damage from drops or collisions, water ingress resulting from failure to perform a pre-reprocessing leak test, channel tears from improper accessory use, and damage occurring in transit due to inadequate packaging. We strongly recommend insuring the return shipment.
- Reprocessing: Loaners must be thoroughly cleaned and high-level disinfected according to manufacturer specifications before being returned. This is both a regulatory requirement and a condition of our loaner agreement. The scope must arrive back at our facility reprocessed and ready for the next clinical use. Do not return loaners that have not been fully reprocessed.
- Return Timeframe: Loaners must be returned within 3 business days of receiving the repaired original equipment. We understand that return logistics can take time, so please arrange return shipping promptly. Late returns beyond the 3-day window may incur a daily rental fee to cover the cost of the loaner being unavailable to other facilities.
- Intended Use: Loaners are provided exclusively for use in place of equipment currently being repaired by Endoscope Services. They may not be used as general pool scopes, lent to other facilities, or retained beyond the agreed period.
Before You Return — Checklist
To avoid delays and ensure your facility is not liable for additional charges, please confirm the following before returning a loaner:
- ✅ Loaner has been pre-cleaned at point of use immediately after the final procedure
- ✅ Leak test performed and passed — if the scope failed, contact us before returning
- ✅ Full reprocessing cycle completed (manual clean + high-level disinfection)
- ✅ Scope is dry — shake out channels and allow to air before packaging
- ✅ Packaged safely in the original transit case or a protective endoscope bag
- ✅ Return shipping is insured and tracking number sent to us
